FAQ's

Work is outsourced to Sapphire under various models based upon accounting firm’s own internal processes & work flow. Working with our secured client portal would require you to scan & send /upload documents/instructions to us on our portal where our team works on it & final reports are processed on your cloud software i.e. Xero etc. for bookkeeping/accounts production & tax preparation etc. The working paper are send to you through secure client portal only.

Next model is where you give us vendor access to your cloud (allowing access to documents/software) in a similar manner as you would give to one of your WFH/Remote staff. We work on your cloud & email you when we got final reports ready. In both cases if any working papers or supporting documents required to be passed on to our staff, you can use our secured client portal.

Our client portal is linked to our enterprise integrated platform which controls our workflow & arrives at Turn-Around-Time (TAT) inbox of all jobs on an automated basis. You are able to check expected TAT of all your work as soon as you upload fresh instructions and the job is accepted by us.

We can give you a live demo of our work process if you so desire.

There are two methods to send scanned documents to Sapphire.

  1. Upload to Sapphire secure client portal - In case we work through VPN model.
  2. Access to your document folder - In case you give us vendor access to your cloud.

Sapphire Digital Accounting is a business registered in Australia and all transactional work is processed by our highly qualified & experienced team in India. SAPDACC is part of Sapphire Group that is run and operated in UK as well as India.

Yes. We are headed by an Australian CPA. Our staff is highly trained over the years working with various Australian businesses. Hiring & training of staff members is an ongoing business process as it is paramount for our operational excellence which is something we strive for. Our agile work force can almost handle any accounting software.

We are ISO 27001:2013 information security certification with regard to providing outsourced accounting services. We follow some of the most rigorous IT security policies to ensure data safety as illustrated below: The detailed IT security protocols and policy form part of our agreements to ensure GDPR compliance on the matter.

  1. Sapphire has controls to avoid individuals assuming access rights they have not been assigned to gain access to Customer Data they are not authorised to access.
  2. Antivirus protection against malwares and spywares
  3. To make sure our client’s data remain in a safe & secured environment, Sapphire has deployed job portal server on Amazon Web Services/cloud. This makes sure that our job portal service and clients data remains safe and in live wire condition in all situations.
  4. Restricted access to Servers and shared resources. This ensures that only authorised persons can access the relevant data.
  5. Sapphire has installed Sophos Cyberoam Firewall for data protection along with Cisco Routers and Switches which scans each file before downloading and uploading.
  6. To avoid any nightmare, Sapphire’s IT team system makes sure that all the workstations are having latest windows OS patches, security updates and other application updates, as a part of our proactive Endpoint Vulnerability Management policy
  7. Data stored on a computer protected by strong passwords that are changed regularly.
  8. Sapphire encourage all staff to use a password manager to create and store their passwords.
  9. Sapphire has the right and capability to monitor electronic information created and/or communicated by persons using company computer systems and networks, including e- mail messages and usage of the Internet. It is the Sapphire policy or intent to continuously monitor all computer usage by employees or other users of the company computer systems and network.
  10. The application and database systems can limit the number of applications and databases available to users based on their job requirements.
  11. Access controls exist at various layers of the system, including the network. Access control is implemented by logon ID and password. At the application and database level, other access control methods can be implemented to further restrict access.
 

Although we are an Australian business but for all our transactional work our team is based in India. In this post COVID digital world businesses have embraced to work remotely. With technology continue to improve in the near future low-cost global teams will be accessible too small to mid-tier businesses as well and not just for big businesses.

We are here to disrupt & evolve digital outsourcing and part of the movement is to have virtual meetings only to save time travelling. One thing we have learnt during COVID that virtual meetings are as effective as the one’s in person. In saying that we love to see our clients from time to time. One of our directors is based in Melbourne and a meeting can be arranged face to face.

The Fixed Price model is suitable for the well-defined requirements and plans for the outsourcing work. Under this model, we analyse the scope of work and provide you with a dedicated resource.

This model works for many of our existing clients who run accounting practices prefer a full-time resource as it ensures consistency, accuracy, on-time and quality services for them. The dedicated team/ individual exclusively works on the project under client’s direction in our firms-controlled environment under management supervision. Each FTE (full-time equivalent) staff communicates with the client to understand the requirement and execute the project’s requirements. Full time equivalent staff/team will directly update a client on progress of the work by sending a daily, weekly or monthly report.

Work is tracked through daily time-sheets integrated to our biometrics system.

Our staff works for 5 days a week from Monday to Friday for 8½ hours (inc. 30-minute break) from 02:30 PM to 11:00 PM AEST. Typically, our staff will be working on pipeline tasks and you can catch up during Australian work hours to collaborate or for any status updates.

 

Although our staff is allowed 20 holidays per year including 1 monthly paid leave plus 8 public holidays in India. However, this doesn’t impact total number of monthly hours committed to you. That is, even if FTE takes leave during a particular month, they will still complete their 164 hours per month.

For effectiveness, FTE communicates directly with you before availing leave with enough notice. Other public leave information will be shared with you directly by the reporting manager ahead of time.

MS Teams is the preferred method for communication & work flow management. Apart from that we use Skype too for routine calls.
